Mercy Corps Timor Leste is seeking to hire a temporary Human Resource Assistant who will be responsible for administration of the day-to-day operations of the human resources functions and duties. The Human Resources Assistant will work closely with Programs teams, Operations teams, and Finance teams. He/She is instrumental in supporting program activities through his/her services.
Based in Dili, a bachelor’s degree in public/Business Administration and Economy Management or related field is required. To succeed in this role, you will need excellent communication and problem-solving skills, as well as the ability to deal with day-to-day HR responsibilities to get important work done. Previous experience in an HR-related role is a plus.
Human Resource Assistant Responsibilities:
- Serve under the direction of Human Resources Manager to process and properly document all daily HR activities, efficient and timely manner.
- Assist HR Manager with the process of recruitment, including vetting candidates, interview and issuing employment contracts.
- Track and record the timesheets and follow up proper timesheet approvals and ensure all team members sign and submit their timesheets in the required time.
- Assist and Responsible for tracking annual leave days, as per Mercy Corps Timor-Leste Policy. Advise and in cooperation with program management, ensure the validity of timesheets and monthly compensations.
- Responsible for facilitating international team member’s visas and other legal documentation for Mercy Corps staff.
- Assist management in the day-to-day upholding of all Mercy Corps procedures – in particular, National Staff Polices and Recruitment Procedures.
- Assist Human Resources Manager in maintaining a central filing system in both hard copy, digital and electronic file.
- Assist Human Recourses Manager in record and tracking the Probationary periods and Annual Performance Review and ensure that team members complete on time.
- Ensure smooth separation process to a separated team member (i.e. end of service check list, exit interview and last payment processes.
- Adherence to all Mercy Corps policies and procedures as outlined in Mercy Corps policies and procedure manuals.
Human Resource Assistant Requirements:
- 2 years’ experience in Human Resource field is required,
- University degree in business administration or Human Resource.
- Administration experience including human resource and office management systems.
- Fluency in verbal and written English communication,
- Multi-tasking, organizational, and prioritization skills is required.
- Candidate must also possess an attention to detail, ability to follow procedures, meet deadlines, and work independently and cooperatively with team members.
- Professionalism and motivation expected.
- Highly developed computer skills with a strong familiarity of Microsoft Word and Excel.
