  1. The role
CARE in Timor – Leste is currently seeking an Administration Assistant for our Labor Mobility Workers and Family support project.
The main duties and responsibilities of this role are:
  • Under the guidance of the project manager and Finance & Admin Officer, lead all the logistic and procurement activities related to the procurement of project material and supplies.
  • Under the guidance of the project manager, Finance & Admin Officer and work closely with procurement and logistic team for the procurement of project equipment and assets.
  • Support project team to organize meeting room/venue, for training/workshop/meeting include meals, procuring materials, supplies and preparing attendance sheets accordingly
  • Responsible for arranging vehicles for all project activities and any cost associated with the vehicles.
  • Prepare the daily/monthly vehicle log sheet and check with the relevant project staff.
  • Responsible for the arrangement of the transportation and accommodation for project staff, visitors and donor visits to the field based on the project plans.
  • Oversee the safety and security checking of all vehicles to be utilized for project activities, including to ensure that drivers have a proper induction of CARE's safety and security policies.
  • Process the issuance of the business card for the senior staff in accordance with the CARE’s guidelines.
  • Prepare the monthly payments and procurement of communication usage such as phone cards etc.
  • Responsible for managing incoming and outgoing communication of the project related event both internal and external.
  • Answer phones in a timely and professional manner and direct communications to their destination.
  • Other duty as assigned.
 
  1. Selection criteria
  • Relevant tertiary education degree in finance, administration, or any other relevant areas
  • 3 years or more of professional experience in logistic and procurement management, preferably with an international development agency.
  • Proven experience in procuring and managing office assets and supplies
  • Proven experience in organizing meetings internal and external
  • Demonstrated analytical and organizational skills, ability to identify issues and formulate options/recommendations.
  • Demonstrated good knowledge of procurement functions, such as procurement of office equipment and supplies
  • Strong interpersonal and communication skills
