Job Description:

World Vision is a global relief, development, and advocacy organization dedicated to working with children, families, and communities to overcome poverty and injustice. World Vision Timor-Leste began its first project in Aileu municipality in 1995 and opened its national office in Dili in 1999. Today, we have three Area Programs implementing projects in four municipalities: Aileu, Baucau, Bobonaro, and Covalima.

PURPOSE OF POSITION:
 
To assist in the management and oversight of logistics for the Area Program.


Major Resposibilities:

Logistics
  • Assist in the logistics for all WVTL’s programs/projects.
  • Assist in exploring opportunities, relationships, and plans to reduce losses and improve requirements, and communicate these to program and field staff in systematic ways.
  • Receiving and checking deliveries to ensure that the correct amount and type of stock are delivered.
  • Ensure the car movement and support are available to all projects based on the booking system.
 
Assets/Warehouse
  • Receiving/arranging to warehousing, checking, recording, and following up, where necessary, all goods purchased.
  • Manage to track WV assets register and inventories.
  • Ensure that all waybills out on staff and projects are returned to the logistics assistant.
  • Pick up and count the goods at the supplier
  • Follow up with the project staff to ensure the copy of the waybill out is returned for filling.
 
Vehicles
  • Ensure all WVTL vehicles have a regular service schedule.
  • Check and Help staff to do an inspection
  • Check details of staff logbook according to WVTL Policy

Procurements Management
  • Handling administrative requests and queries from Project
  • Take Quotation in the target area (villages) to make sure the real stock

Administration Responsibilities
  • Organize and schedule appointments
  • Makes travel arrangements for staff and or projects such as booking cars and hotel or restaurant reservations.
  • Provide general support to visitors
  • Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Order office supplies and research new deals and suppliers

Other
  • Assist in Humanitarian Emergency Disaster management
  • Perform other duties as assigned.
  • Work collaboratively with team members when assigned to work as part of a team.
  • Attend and participate in the leadership of daily devotions and weekly Chapel services.

Knowledge/Qualifications for the role
  • Basic, routine work experience in an office of 6-12 months.
  • Bachelor in Industrial or Business
  • Effective computer skills, including the use of Microsoft Office, Outlook, Internet, and various software applications and databases.
  • Attention to detail.
  • Excellent communication skills and the ability to work as a member of a team.
  • The ability to balance priorities and meet deadlines.
  • The ability to speak and understand English.
  • The Position may require a class C driver's license.
