Finance Assistant

POSITION SUMMARY - This position is based in Dili, Timor-Leste
CI’s work in Timor-Leste began in 2009, followed by the establishment of our office in 2012. Our work aims to improve local food security, fight climate change, and enhance livelihoods primarily through the establishment of a functioning national protected area network. We are working directly with government and local communities to research, implement, and improve the management of protected areas on land and at sea, through national parks and no-take zones. Through a blend of science, policy, and fieldwork, we further provide innovative solutions to key environmental issues such as unsustainable fishing practices, deforestation, and climate change teams.
The Finance Assistant is responsible for providing support on day-to-day financial management and reporting for CI Timor-Leste operations. Duties include handling financial transactions, recording invoice payments and journal entries in a timely and accurate manner, initiating payment in e-banking, handling petty cash, and providing regular reports as required.
The Finance Assistant works with the Operations Manager and Operations Coordinator to ensure compliance with CI’s policies, procedures, and donor and local reporting requirements. This position does not supervise staff. Duties are performed under direct supervision.
RESPONSIBILITIES
Key Responsibilities
- Review vendor invoices and record them in the accounting system.
- Review transaction reports and prepare adjusting journal entries as needed.
- Maintain high-quality financial transaction records, both in soft and hard copies.
- Review the eligible-to-pay report and initiate payments via e-banking.
- Support the Operations Coordinator in procurement, contract, and grants management.
- Assist the Operations Coordinator in preparing account reconciliation reports and the financial closing process.
- Assist the Operations Coordinator in reviewing expenses, staff advances, acquittals, and reimbursements.
- Support HR and Admin Officer in payroll management.
- Manage petty cash operations.
- Perform other related duties as assigned.
Additional Responsibilities
- Support Procurement, Grant & contract Officer on Fixed Assets management.
- Support Operations Manager on facilitating internal and external audit.
WORKING CONDITIONS
- Typical office environment.
- Willingness to occasionally work extended hours for special events or related activities.
- This role will be a fixed-term assignment.
QUALIFICATIONS
Required
- Up to 2 years of general work experience.
- Ability to analyze data to check for errors and inaccuracies.
- Fluency in English and strong communication skills.
- Ability to work tactfully and effectively with a tight deadline.
- Knowledge of MS Office (Outlook, Excel, Word).
- Experience in using double-entry accounting system.
- Knowledge in System of Accounting and Payment (SAP) and Business World.
Preferred
- University degree in Accounting, Finance, or any other relevant field.
- Knowledge of SAP and Business World.
