Operations Coordinator

POSITION SUMMARY - This position is based in Dili, Timor-Leste

CI’s work in Timor-Leste began in 2009, followed by the establishment of our office in 2012. Our work aims to improve local food security, fight climate change, and enhance livelihoods primarily through the establishment of a functioning national protected area network. We are working directly with government and local communities to research, implement, and improve the management of protected areas on land and at sea, through national parks and no-take zones. Through a blend of science, policy, and fieldwork, we further provide innovative solutions to key environmental issues such as unsustainable fishing practices, deforestation, and climate change teams.

The Operations Coordinator is responsible for providing routine operation support for the administrative, financial, and/or human resources functions of a department/program.  Duties include handling financial transactions, providing grants administration support, setting up/maintaining filing, and reporting systems, generating reports and analysis, new employee onboarding, and providing general office support as directed.  They will also provide meeting/conference planning, time recording, travel, and IT liaison support as directed.

The Operations Coordinator works with the Operations Manager and HQ staff to ensure compliance with CI’s policies, procedures, and donor and local reporting requirements.  They will respond to routine questions and refer more difficult requests and questions to their supervisor for resolution.

This position does not supervise staff.  Duties are performed under direct supervision.

RESPONSIBILITIES

Key Responsibilities

  • Work to ensure operational and financial services within the department run smoothly.
  • Assist staff with routine operational and financial matters, ensuring understanding and compliance with CI policies and procedures related to operations.
  • Handle routine financial transactions, including reviewing and preparing check requests, reimbursements, reclasses, and related processes.
  • Maintain good quality of financial transaction documents both soft copy and hard copy.
  • Support grants administration including reviewing and verifying contract information, entering and maintaining contract information in CI’s grant management systems, and generating reports.
  • Prepare expense reports, arrange travel advances, and process travel expense reports.
  • Review time reporting for proper coding and charging.
  • Support HR and admin officer on payroll management.
  • Prepare account reconciliation report and finance closing process.
  • Create and maintain filing systems and manage the department’s mail.
  • Handle scheduling, including providing financial support for meetings and events.
  • Perform related duties as assigned.

Additional Responsibilities 

  • Support Operations Manager in facilitating internal and external audits.

WORKING CONDITIONS

  • Typical office environment.
  • Occasional travel of less than 10% may be required.
  • Ability to work extended hours to meet the deadlines.
  • This role will be a fixed-term assignment.

QUALIFICATIONS

Required

  • 2 to 4 years of relevant work experience.
  • Strong organization, communication, and interpersonal skills.
  • Proven ability to work effectively as part of a team.
  • Experience managing financial and grant transactions is preferred, particularly using System of Accounting Payment (SAP) and Business World systems.

Preferred

  • University degree in Accounting, Finance, or a related field.
  • Coursework (up to 2 years) in college or technical school.
  • Knowledge of SAP and Business World.
