Title: Driver and Logistic Assistant

Term: 1 year with possibility for extension

Location: Dili, Timor-Leste

Supervisor: Operations Manager

 

Introduction

CI’s work in Timor-Leste began in 2009, followed by the establishment of our office in 2012. Our work aims to improve local food security, fight climate change, and enhance livelihoods primarily through the establishment of a functioning national protected area network. We are working directly with government and local communities to research, implement, and improve the management of protected areas on land and at sea, through national parks and no-take zones. Through a blend of science, policy, and fieldwork, we further provide innovative solutions to key environmental issues such as unsustainable fishing practices, deforestation, and climate change.

 

Position Description

The Driver and Logistic Assistant is responsible for overseeing the fleet and transportation needs of CI Timor-Leste program. In addition, s/he provides logistical support for program and project needs to help to ensure the smooth and efficient operations of the assigned tasks.

 

Fleet management duties include providing and/or arranging transportation for CI staff and guests in a timely, safe, and responsible manner. S/he ensure CI vehicles are routinely serviced, maintained in a clean and tidy manner and all vehicle licenses, inspections, insurance, etc. comply with local vehicle licensing and operations requirements. The driver ensures the proper use of vehicles, maintains logbooks and/or maintenance manuals, and performs routine maintenance and repairs as necessary.

 

Logistic duties include managing supplies and office assets, overseeing office grounds, providing support for meetings, mail delivery and other related duties. For field locations, s/he will work closely with staff across the program to support field activities including setting up and securing base camps, managing supplies, meeting/event support and otherwise providing logistical and operational support to the program.

 

This position does not supervise staff.  Duties are performed under direct supervision..

 

KEY RESPONSIBILITIES

  • Provide prompt and reliable transportation for CI staff and visitors. Arrange for alternative transportation as needed.
  • Facilitate visitor and staff arrival and departures to and from local airports or site locations
  • Manage transportation needs for field trips or site visits
  • Coordinate vehicles use and maintain logbooks and vehicle register
  • Ensure that all vehicles have current licenses, inspections, insurance, etc. appropriate to their use and in compliance with local laws.
  • Inspect vehicles periodically to ensure safe and reliable vehicle operations. Manage maintenance schedules and records.
  • Perform routine maintenance and small repairs as needed.
  • Perform related duties as assigned.

 

ADDITIONAL RESPONSIBILITIES

  • Support procurement of field supplies, equipment, and other needs and maintain the inventory
  • Work with CI staff to ensure field site locations are accessible to staff and visitor, fully operational and secure
  • Transport the equipment and supplies as needed
  • Regularly inspect site equipment and provided as-needed cleaning and maintenance to ensure they are in proper working order
  • Provide logistical support for site meetings, trainings, and events.
  • Provide support for related administrative and operations functions as directed


PEOPLE AND RESOURCE MANAGEMENT RESPONSIBILITIES

  • This position does not manage staff, an operating budget, or public or private funds.

QUALIFICATIONS

  • Secondary School or above numeracy and literacy skills
  • 5+ years’ experience as a Driver and or Logistical support role
  • Full Driver’s License/qualifications that is recognized in the assigned country
  • 3+ years’ experience overseeing fleet or vehicle maintenance schedule
  • Clear understanding and ability to follow procurement process


ADDITIONAL QUALIFICATIONS

  • Functional English skills
  • Tetum or Bahasa Indonesia skills
  • Basic knowledge of Computer operating, MS Word or Excel
  • 4WD driver training or certification
  • Experience working with an NGO

 

WORKING CONDITIONS

  • Frequent travel to remote locations required.
  • Flexibility to occasionally work outside of normal work hours for any additional office events
